Gmail Delegation
ITS will be requiring Duo Two-Step Login to all role accounts starting February 25th 2025. Gmail account delegation will eliminate the need for users of a role account to use a password to access it and the need for Duo Two-Step Login.
Delegation will allow users to sign into a role account’s mailbox without using a username and password. In their own Gmail inbox, they should be able to choose the role account from a drop-down where they see their profile icon. This will open the role account’s mailbox in a new tab and will still keep them signed in to their own account.
Adding delegates to a Gmail account
On your computer, open Gmail
You can't add delegates from the Gmail app
In the top right, click Settings > See all settings
Click the Accounts tab
In the "Grant access to your account" section, click Add another account
Enter the email address of the person you want to add
Click Next Step > Send email to grant access
Removing delegates from a Gmail account
On your computer, open Gmail
You can't remove delegates from the Gmail app
In the top right, click Settings > See all settings
Click the Accounts and Import tab.
In the "Grant access to your account" section, click Delete next to the account you want to remove.
The person you added gets an email asking them to confirm. The invitation expires after a week.
If you added a group, all group members become delegates without having to confirm.
It may take up to 24 hours for the delegation to start taking effect.
